What Data Does My Business Need to Start Using AI

One of the biggest misconceptions about AI is that you need massive datasets and data scientists to get started. For small business AI automation, you likely already have everything you need.
Data You Already Have
- Customer inquiries: Emails, chat logs, phone call notes — these tell AI what questions to answer
- Standard operating procedures: Even informal "this is how we do it" knowledge
- Pricing and service information: Your menu, rate card, or product catalog
- Calendar and scheduling data: Your existing appointment or booking system
- Customer contact information: Your CRM, email list, or even a spreadsheet
What Most Small Business AI Actually Uses
The majority of small business AI automations do not require training custom models on your data. They use:
- Pre-built AI models (like ChatGPT, Claude, or Gemini) that are already trained on general knowledge, then configured with your specific business information
- Rule-based automations that follow if/then logic you define
- Integration data that flows between your existing tools (calendar, CRM, email, POS)
