How to Organize Bookmarks for Remote Work Projects

Remote work runs through the browser: project boards, shared documents, client portals, dashboards and video calls. Without a system, bookmarks pile up into a list no one can search. A simple structure keeps the right links one click away.

1. Keep the bookmarks bar for daily tools

Show it with Ctrl + Shift + B. Put only what you open every day there: email, calendar, chat, your task board. Right-click a bookmark, choose Edit and shorten the name, or delete the name entirely to show just the icon.

2. One folder per project or client

  • Create a folder for each active project in the bookmarks bar or "Other bookmarks".
  • Inside, keep the same order every time: brief, task board, shared folder, key documents, staging site.
  • Prefix names when helpful, such as "ACME – Brief", so they sort together.

3. Use a reference folder

Separate folders for things you look up but don't use daily: HR pages, expense system, style guides, documentation. Keep these out of the bar.

4. Save tab groups

Group the tabs you use for one project (right-click a tab → Add tab to new group) and give the group a name. Chrome can save tab groups and show them in the bookmarks bar, so you can close a project's tabs at the end of the day and reopen them all in one click. The exact menu wording varies between Chrome versions.

5. Separate profiles for separate worlds

If you work for several clients or keep work and personal browsing apart, use a Chrome profile for each. Each has its own bookmarks, logins and extensions, which also stops you sharing the wrong screen in a meeting.

6. Share links with your team

Personal bookmarks don't help a colleague. Keep shared links in one place everyone can reach: a pinned message in a project channel, a team wiki page or the project board itself. Update it when links change.

7. Find things fast

  • Type part of a bookmark's name in the address bar; Chrome searches bookmarks as you type.
  • Open the Bookmark Manager with Ctrl + Shift + O to search, sort and drag.
  • Use the Reading list for articles to read later, not your bookmarks.

8. Clean up monthly

Archive folders for finished projects into a "Done" folder, delete dead links, and export your bookmarks occasionally as a backup (Bookmark Manager → three-dot menu → Export bookmarks).
