How to Present Meeting Cost Data to Leadership

You've added up how much your company spends on meetings and the number is large. Presented badly, it sounds like an accusation, or an abstract figure nobody can act on. Presented well, it leads to real change.
1. Lead with one clear number
Start with a single headline, for example: "Our team spends about 1,900 hours a quarter in recurring meetings, roughly $90,000 in salary." Then show where it comes from. Leaders get many reports; one memorable number does more than a dense table.
2. Show time as well as money
Money gets attention, but time is what people feel. "Engineers spend about 11 hours a week in meetings, more than a full working day" connects the cost to the work leaders care about.
3. Be open about your method
- Where the data came from (calendar reports, a sample of teams).
- The formula: hours × attendees × average hourly cost.
- What you assumed, such as average salaries rather than real pay, and whether benefits are included.

4. Make it specific
Show the five or ten most expensive recurring meetings, with their cost per year. A weekly hour-long meeting with eight people at a $100,000 average salary costs about $20,000 a year in salary alone. Specific meetings are things people can change; a company-wide total isn't.
5. Count the value too
Some expensive meetings are worth it: planning, decisions, customer work. Acknowledging that makes the rest of your case more credible.
6. Propose a small test
Instead of asking for a company-wide change, suggest an experiment:
- Cancel or halve one type of recurring meeting for four weeks.
- Replace status meetings with written updates. See async standups.

Agree in advance how you'll judge it: hours saved, a short survey on focus, and whether work slowed down.
7. Avoid blame
Never single out individuals' calendars or pay. Talk about meeting types and habits, not people.
