The Hidden Cost of Just a Quick Sync Meetings

"Can we do a quick sync?" sounds harmless. Fifteen minutes, a few people, just to get aligned. But quick syncs are one of the most expensive habits in a working week, because their real cost is hidden.

Where the cost hides

  • Everyone's time adds up. Fifteen minutes with six people is an hour and a half of work time, not fifteen minutes.
  • The interruption. A sync in the middle of focused work costs the time to get back into it, which research suggests can be far longer than the sync.
  • They multiply. Because each one seems small, nobody tracks them. Five a week can quietly eat half a day.
  • They run over. "Quick" rarely means 15 minutes once people join late and topics drift.

When a sync is worth it

  • A decision is blocked and needs live back-and-forth.
  • Something is sensitive or likely to be misread in writing.
  • A problem is urgent and the people who can fix it are available.

What to do instead

  1. Write it first. A short message with the question, context, and options often resolves it without a call.
  2. Record a short video walking through the issue, so people watch when it suits them.
  3. Invite fewer people. Only those who need to decide; share notes with everyone else.
  4. Batch syncs into one slot a day rather than scattering them.
  5. End on time, with a clear owner for each next step.
